Publish only what employees need

  • Employee schedules should show the dates, days, assigned shifts, station/role information needed for the shift, and approved coverage/contact information.
  • Do not expose manager-only wage, labor-cost, or private control fields in the employee view.

Make the schedule survive a phone screen

  • Keep day labels visible in responsive/mobile layouts so employees do not have to infer which column or card belongs to which day.
  • A QR code can make the current published schedule easier to reach, but the destination must be tested before the code is posted.

Control revisions

  • When a published schedule changes, identify it as revised and preserve enough history for management to explain what changed.
  • Do not rely on an old printed copy after a revision. Use a clear communication practice for changes that affect employees.

Coverage is a controlled workflow

  • Find Coverage should consider availability and qualifications rather than simply listing every employee.
  • If contact information is used for coverage, expose only what the restaurant has deliberately approved for that workflow.
Gravity rule: Use the smallest control that makes the truth easier to see and the work easier to repeat. Records should describe what actually happened, not what the restaurant hopes happened.
