How to use any Gravity operating system.

A Gravity system is meant to become a working management routine, not a binder that gets downloaded and forgotten. Start small, assign ownership, use the records during real operations, review the result, correct what fails, and expand only after the first controls are working.

What is a “tool” in plain English?

A Gravity tool is not another app you have to learn. It is a ready-to-use management document such as a checklist, log, tracker, audit form, planning worksheet, scorecard, decision record, or review page. The Excel workbook pulls the management view together; the forms help people capture the facts that feed decisions.

You do not need all 15 systems and you do not need all 30 tools inside a system. Most restaurants should begin with one problem and one system. If you are unsure, use the problem guide below and preview the forms PDF before downloading the complete ZIP.

Fastest test: open “Preview the 30 Tools” first. If those forms address problems you actually have, then download the complete system. If they do not, skip it.

Choose one pressure point

Start with the repeated problem that is costing the restaurant the most in money, time, safety, guest trust, employee stability, or management attention.

Assign one accountable owner

Name the owner or manager responsible for the system, the review schedule, the source records, and the follow-up. Shared responsibility without a clear owner usually becomes no responsibility.

Start with 3–5 tools

Do not launch all 30 tools at once. Select the few tools that address the immediate problem and use them consistently through the chosen Accelerated or Guided first phase.

Teach before requiring

Use the manual and training deck to explain the purpose, standard, owner, frequency, and correct completion method before expecting managers or employees to use the forms.

Record, review, and decide

Use the forms for field evidence and the digital workbook for the live management view. Review results on the stated daily, weekly, monthly, or event-based schedule and assign a decision or corrective action.

Confirm that the correction actually changed the result. Keep completed records, close open actions with evidence, then add the next tools or the next system only when the current control is stable.

Simple 30-day start

Install the system in a controlled sequence.

Days 1–5: Read the manual, identify the pressure point, name the system owner, confirm the source records, and choose the first 3–5 tools.

Days 6–10: Customize only what the restaurant genuinely needs, preserve one clean master copy, train the people who will complete or review the records, and confirm where completed evidence will be stored.

Days 11–30: Use the tools during real operations. Review the workbook and forms on schedule, identify missed standards or repeated patterns, assign corrective actions, and verify closure with evidence.

At day 30: Decide what to keep, revise, retire, or expand. Add more tools only when the first controls are being completed and reviewed reliably.

Important: Gravity tools support management control. They do not replace the restaurant's official accounting, payroll, POS, health-department, legal, tax, insurance, employment, safety, or other authoritative records and requirements. Use the current applicable authority whenever a rule or threshold is controlled outside the restaurant.
